F 6'6 <br />City of Sunny Isles Beach <br />18070 Collins Avenue <br />Sunny Isles Beach, Florida 33160 <br />(305) 947-0606 City Hall <br />(305) 949-3113 Fax <br />MEMORANDUM <br />TO: Honorable Mayor and City Commissioners <br />VIA: Stan Morris, City Manager <br />FROM: Genesis Cuevas, Purchasing Manager <br />DATE: October 22, 2024 <br />RE: Ratify Blanket Purchase Order with Blue Digital for Fiscal Year 22-23 <br />RECOMMENDATION: <br />Staff recommends approval of this Resolution. <br />REASONS: <br />Via Reso 2022-3392 the city initially awarded a Blanket Purchase Order (BPO) with Blue Digital for <br />under $50,000, however at the end of the FY, the BPO closed at $52,613.09. Therefore, the city is <br />requesting to ratify $2,613.09, for a total spend with Blue Digital of $52,618.09. Blue Digital had an <br />active piggyback contract with Miami -Dade County, #8254-1/22. <br />The primary user of this BPO is the Building Department. The scanning of Building documents always <br />includes large formatting documents (plans.) Also, if the plans show any color, they are scanned as large <br />format documents in color by Blue Digital. One critical process is ensuring that Blue Digital prepares the <br />digitized documents to be ready for importing into Laserfiche (the city's document storage platform) <br />with the completed metadata for each permit, so that the documents file correctly at the time of <br />import. The city uses different metadata templates for our different processes in Laserfiche, so it is <br />important that the company is experienced and very familiar with this process. <br />ADDITIONAL INFORMATION: <br />Why Action is Necessary: <br />Item Number: 9.11 <br />287 <br />
