<br />City of Sunny Isles Beach |Invitation to Bid No. 14-10-02 10 <br /> <br />SECTION 2 <br />Special Terms and Conditions <br /> <br />2.1 PURPOSE OF BID: <br />Prospective work shall generally include emergency and non-emergency repairs to existing City of <br />Sunny Isles Beach infrastructure which includes non-specific unit price work on various City <br />facilities. It is the intent of this bid document that unit prices shall include all installation, materials, <br />labor, equipment, mobilization costs, removal and disposal of excess materials, backfilling and <br />maintenance of traffic. This maintenance contract will be utilized on an as-needed basis. At the <br />City’s discretion, the contract may be awarded to multiple contractors. <br /> <br />2.2 PRE-BID CONFERENCE: <br />A non-mandatory pre-bid conference will be held on 11/13/2014 at 10:00am at Sunny Isles Beach <br />Government Center, 18070 Collins Avenue, Sunny Isles Beach, FL 33160; 1st Floor Conference <br />Room to discuss the special conditions and specifications included within this solicitation. <br /> <br />Proposers are requested to bring this solicitation document to the conference, as additional copies <br />may not be available. <br /> <br />2.3 TERM: <br />The initial period of the Contract shall be for a period of one (1) year, commencing from the <br />contract’s effective date. <br /> <br />2.4 OPTIONS TO RENEW: <br />The initial contract prices resultant from this solicitation shall prevail for a two (2) year period from <br />the contract’s initial effective date. Prior to, or upon completion, of that initial term, the City shall <br />have the option to renew this contract for an additional two (2) year period. The Proposer shall <br />honor the same prices reflected in its bid response during the optional renewal period(s), unless <br />the City agrees in writing to a price adjustment prior to completion of each exercised contract term. <br /> <br />It is the Proposer’s responsibility to request any pricing adjustment under this provision. For any <br />adjustment to commence on the first day of any exercised option period, the Proposer’s request <br />for adjustment should be submitted at least ninety (90) calendar days prior to expiration of the <br />then current contract term. If no adjustment request is received from the Proposer, the City will <br />assume that the Proposer has agreed that the optional term may be exercised without pricing <br />adjustment. Any adjustment request received after the commencement of a new option period <br />shall not be considered. <br /> <br />The City reserves the right to negotiate lower pricing for the additional term(s) based on market <br />index research information or other factors that influence price, provided that Proposer’s request <br />for adjustment is submitted at least ninety (90) calendar days prior to expiration of the then current <br />contract term. <br />
