ENGINEERING YOUR SUCCESS 9 <br />SECTION DPROJECT APPROACH & UNDERSTANDING <br />OCI will communicate fully and openly with the City of <br />Sunny Isles Beach, preferred vendors, authorities having <br />jurisdiction, and design team to assure the result is in <br />accord with the expectation of the Facilities Team. Project <br />communication will flow through the City’s Project Manager <br />to OCI’s Project Manager, Sudharma. Sudharma will set up <br />an initial meeting or conference call with the City of Sunny <br />Isles Beach Project Manager to discuss relevant topics from <br />both a technical and procedural standpoint, understanding <br />of roles, and to discuss the project objectives. <br />A Project Manager and design team are selected based on <br />previous experience and relationship with the City. OCI will <br />meet with the City to discuss the scope of work in detail and <br />any needed site visits. A scope of work and proposed fee are <br />submitted to the City of Sunny Isles Beach, and upon approval <br />of OCI’s proposal, our team develops a schedule for project <br />completion and a kickoff meeting is set. The objective of <br />this meeting is to inform every one of the scope and receive <br />input on design and construction. <br />Project Coordination takes place throughout all the phases <br />through formal meetings and correspondence. To ensure the <br />design allows for maintenance access, meets code, project <br />requirements, and to identify which critical systems must <br />be in operation during construction. Project documents <br />are reviewed on a sheet by sheet basis at meetings and are <br />designed for all disciplines to give comment for any further <br />coordination effort. <br />DESIGN <br />OCI’s team proceeds with the first of the three traditional <br />phases of project design – schematics, design development, <br />and construction documents. The extent to which these <br />phases are executed will depend upon the size and complexity <br />of the project. OCI prepares schematic documents (diagrams, <br />sketches, narratives, etc.) of the project and reviews these <br />with the City’s Project Manager. Then our design team <br />refines the documents further and resubmits them to the <br />City of Sunny Isles Beach’s Project Manager for approval. <br />After the document review and refine process is completed, <br />the construction documents are submitted for a final <br />review. Throughout the three phases, OCI forwards progress <br />documents and maintains communication with the City <br />of Sunny Isles Beach’s Project Manager so that the City is <br />continually informed of the progress. <br />Possible Design-Build Delivery | If the City of Sunny Isles <br />Beach has designated contractors for mechanical and <br />electrical construction under continuing contracts, then <br />frequently the design-build approach with one of these <br />contractors is an excellent way of expediting the project and <br />controlling costs. <br />CONSTRUCTION DRAWINGS (AUTOCAD/BIM/REVIT) <br />A properly coordinated project produces drawings and <br />specifications, which clearly define the work to be done. This <br />ensures it will be constructed to meet the City’s needs within <br />an affordable cost and expected time frame without creation <br />of adverse conditions along the way. <br />Project Drawing List | The project drawing list is a document <br />that evolves with the development of project scope. Each <br />drawing has a subset of tasks which must be completed for <br />that project to be considered complete. <br />Project Events List | OCI creates a list of required project <br />production events for each discipline for schematic <br />design, design development, construction documents, and <br />construction administration phases. <br />CONSTRUCTION SPECIFICATIONS <br />OCI also works from a standardized CSI (Construction <br />Specifications Institute) organized format for production of <br />the various portions of the Bidding Requirements and the <br />various divisions of the Specifications which are relevant to <br />the project. This detailed listing of specification sections is <br />an additional quality control tool, which helps assure that <br />all necessary systems and components are specified. It is, in <br />fact, an additional form of checklist to supplement the items <br />which are developed as part of the project drawing list. They <br />both go hand in hand to assure a well-coordinated set of <br />documents. <br />PERMITTING <br />OCI will participate in the document review process, attend <br />meetings with reviewers as necessary, and provide responses <br />and clarifications for the design intent. <br />BIDDING AND NEGOTIATION <br />OCI prepares documents in the format desired by the City <br />of Sunny Isles Beach. These documents are issued to the <br />bidders of the City’s choice in the manner of issue desired. <br />OCI’s team assists with the bidding process by participating <br />in pre-bid meetings, and in evaluation of bids. <br />CONSTRUCTION OBSERVATION ADMINISTRATION <br />Construction Administration is best achieved through the <br />project engineers maintaining a continuous presence from <br />design all the way through construction on the job site and <br />organizing meetings with the facilities staff, stakeholders,
