City of Sunny Isles Beach <br />18070 Collins Avenue <br />Sunny Isles Beach, Florida 33160 <br />�f � f4a38r iw. <br />(305) 947-0606 City Hall <br />(305) 949-3113 Fax <br />MEMORANDUM <br />TO: Honorable Mayor and City Commissioners <br />FROM: Mauricio Betancur, CMC, City Clerk <br />DATE: September 21, 2023 <br />RE: Resolution Adopting Guidelines for Commissioner Initiated Agenda Items <br />RECOMMENDATION: <br />Staff recommends approval of this Resolution. <br />REASONS: <br />Pursuant to the discussion during August's Regular City Commission Meeting, the City Commission <br />directed the City Clerk to present a resolution for consideration by the City Commission establishing <br />and adopting guidelines for Commissioner Initiated agenda items. Setting these guidelines will assist <br />the City Commission with providing sufficient information, and with ample time, for staff to conduct <br />their due diligence and provide feedback that will allow for: <br />1. Informed Decision -Making: Providing detailed memos along with supporting information equips <br />fellow commissioners and staff with the necessary context to understand the item's significance <br />and engage in a productive discussion. This ensures that all Commissioners and the public have <br />the same information during the decision-making process. <br />2. Efficient and Streamlining_ Having all relevant information presented in a structured and <br />comprehensive manner speeds up the due diligence process. Staff can focus on analyzing the <br />data and crafting recommendations rather than spending time gathering basic information, <br />leading to a more efficient use of resources. <br />3. Transparency and Accountability Providing supporting materials alongside agenda memos <br />creates a transparent record that can be accessed by the public. This fosters greater trust and <br />accountability, as citizens can better understand the rationale behind proposals and the <br />considerations that go into making decisions. <br />By adhering to these guidelines, City Commissioners not only enable a more effective and transparent <br />Item Number: 10.W <br />
