REASONS: Pursuant to the discussion during August's Regular City Commission Meeting, the City Commission directed the City Clerk to present a resolution for consideration by the City Commission establishing and adopting guidelines for Commissioner Initiated agenda items. Setting these guidelines will assist the City Commission with providing sufficient information, and with ample time, for staff to conduct their due diligence and provide feedback that will allow for: 1. Informed Decision -Making: Providing detailed memos along with supporting information equips fellow commissioners and staff with the necessary context to understand the item's significance and engage in a productive discussion. This ensures that all Commissioners and the public have the same information during the decision-making process. 2. Efficient and Streamlining_ Having all relevant information presented in a structured and comprehensive manner speeds up the due diligence process. Staff can focus on analyzing the data and crafting recommendations rather than spending time gathering basic information, leading to a more efficient use of resources. 3. Transparency and Accountability Providing supporting materials alongside agenda memos creates a transparent record that can be accessed by the public. This fosters greater trust and accountability, as citizens can better understand the rationale behind proposals and the considerations that go into making decisions.
