RFQ NO. 20-07-01 – CONTINUING PROFESSIONAL CONSULTING SERVICES (CCNA) <br />SURVEYING AND MAPPING SERVICES / GEOTECHNICAL SERVICES <br />Maser Consulting <br />required supporting graphics or documentation clarifying unit details, schedule, and a project specific <br />safety and QA/QC plans. <br />After completion of the negotiation phase and upon notice-to-proceed, our assigned Task Project <br />Manager will hold a kick-off meeting with all key personnel to discuss project milestones, schedules, <br />accuracies, deliverables, and QA/QC procedures. All key staff will be given the work program schedule <br />that identifies critical milestones for each stage of the project. Detailed communication procedures will <br />be established and followed between all applicable City and Maser Consulting applicable staff. <br />Maser Consulting will provide timely project deliverables in accordance with the scheduled milestone <br />dates. We will provide real-time updates, in a format determined by the City, to ascertain our overall <br />progress as part of project status reporting. We will track and report our progress using either furnished <br />templates or other formatted documents preferred by the City. The status for each task assignment will <br />be closely monitored to ensure all tasks remain on schedule and budget. Microsoft Project will be utilized <br />to schedule and track projects status on an on-going basis and prepare reports documenting percentage <br />complete for project milestones, issues and resolutions, action items, and all associated deliverables. BST <br />software will be used to generate weekly reports to track current budget status and cost to complete for <br />each component of the project. <br />Weekly production meetings with the project team will be held to maintain a constant production flow and <br />to quickly identify and mitigate any unforeseen problems. Constant communication combined with face- <br />to-face meetings via TEAMS, WebEx or in person will be implemented to maintain the highest quality <br />product and meet the project budgets and schedule deadlines. We will submit all work to the City only <br />after our staff ensures that each deliverable meets the City’s standards and specifications. <br />Maser Consulting will comply with jointly agreed procedures of a content management site for tracking <br />progress and documents for the duration of this project. In addition, Maser Consulting will submit written <br />bi-weekly status reports to the City. The final form and procedures of these reports will be established at <br />project initiation. At a minimum these reports will include documentation of any product or document <br />deliveries or submittals; % complete reporting for each task element; meetings held, planned, or <br />requested, including minutes thereof; issues or problems that are encountered, need to be addressed, or <br />resolved; invoicing and payment; and production goals for the next reporting period. <br />All our field/office staff are aware that public roads can be one of the most dangerous work environments <br />in the U.S. Our commitment to the safety of the traveling public, including bicyclists and pedestrians, and <br />our staff is unequivocal. Maser Consulting has adopted the Behavior Based Safety (BBS) model as an <br />enhancement to our existing safety program to live a Safety Culture at work and home. We are committed <br />to observing best practices in the office and field to minimize risk potential to both our team and the <br />traveling public. We commit to using remote sensing and mobile lidar scanning technology to stay out of <br />travel lanes. All field activities will involve MOT certified personnel and will include a site‐specific safety <br />meeting to review potential hazards and safety protocols. <br />Each of our employees has the authority to “Stop Work” in the event a potential hazard is observed to <br />discuss and implement a corrective action plan. We will provide traffic control design support and <br />Temporary Traffic Control (TTC) assistance, as needed. Maser Consulting staff maintain Intermediate <br />Section D, Page 7
