Be The Light Decor | RFP 26-04-01 — Citywide Holiday Lighting & Decorating Services <br />Page 23 of 55 <br />• Documented service log of every reported issue, response time, and resolution, available to the <br />City on request and summarized in the end-of-season report. <br />• Storm and hurricane protocols: pre-storm secure-down checklist; post-storm inspection and re- <br />energization sequence. Extension requests for weather, hurricanes, or acts of God will be <br />submitted in writing per Addendum 3, Q30. <br />• Liquidated damages acknowledgment: per RFP §3.3, if non-functional lights or decorations are <br />not repaired or replaced within 8 hours of notification, the City may assess $300 per day in <br />liquidated damages. Be The Light Decor's response cadence is structured to avoid any such <br />assessment. <br /> <br />7.5 Removal & Storage <br />• Removal will be completed between January 11 and January 31, 2027, prioritizing the <br />restoration of parks to their original pre-holiday condition (RFP §3.1). <br />• Coordinated takedown schedule communicated to the City in advance to minimize public <br />disruption. <br />• All unusable materials and debris removed from City premises; clean-up after every phase of <br />work (RFP §3.12). <br />• All reusable materials packed, labeled, and stored in Be The Light Decor's inventory-controlled, <br />climate-aware warehouse (RFP §3.4 — no on-site City storage unless pre-approved). <br />• End-of-season condition report with photographic documentation provided to the City. <br />• Any damage to public or private property caused during installation, maintenance, or removal <br />will be repaired or replaced at our expense to the City's satisfaction (RFP §2.13). Pre-existing <br />damage will be documented and reported in writing prior to work. <br /> <br />7.6 Maintenance of Traffic (MOT) <br />• All work within FDOT and City rights-of-way will conform to MUTCD and the current edition of <br />the Florida Department of Transportation Standard Plans and Specifications for Road and Bridge <br />Construction (RFP §3.2). <br />• All traffic control costs are included in the unit pricing in Exhibit A and will not be billed <br />separately (RFP §3.2). <br />• No lane closures will be requested during peak periods (6:00 AM–9:00 AM and 4:00 PM–7:00 <br />PM), except in an emergency (RFP §3.2.3). <br />• Tree pruning may be performed at night where required by FDOT (RFP §3.2.3); this is <br />coordinated through the City's facilitation of palm pruning. <br />• FDOT certifications maintained for all personnel initiating, installing, and maintaining temporary <br />traffic control devices in FDOT ROW (RFP §3.2.2). <br />
